These terms, in conjunction with the terms outlined in the offer letter (collectively referred to as the “Terms and Conditions”), establish the contractual arrangements between ACE and students (“Students”) concerning English language courses, academic programs, and any other ACE courses (the “Course”).
Upon acceptance of enrollment by ACE, these Terms and Conditions become legally binding. All students agree to comply with the regulations, policies, and procedures of ACE (hard copies available upon request).
Booking & Payment of Fees
1.1 The tuition fee for your course is as stated in the invoice received from ACE.
1.2 Students, along with their parents, guardians, or agents, agree to pay the tuition fees and all other applicable charges for the course. Failure to do so may lead to withdrawal from the course and cancellation of enrollment.
1.3 Initial payment compliance with the terms in the invoice is necessary for course registration, and ACE cannot issue any visa documents until the initial payment is made.
1.4 Confirmation of airport transfers or accommodation is contingent upon meeting all payment terms and providing proof of a successful visa application to ACE. ACE cannot guarantee these services if terms are met less than 72 hours before arriving in the UK.
Services
2.2 The company retains the right to modify details of its advertised services, courses, facilities, and course dates under circumstances beyond the company’s control or insufficient enrolments to operate a course viably.
2.3 If ACE is unable to deliver the course in full, you may be offered enrollment in an alternative course at no extra cost. You can choose to cancel the course (terms and conditions apply) or accept a place in another course. A minimum of eight students is required for English Language courses to run; otherwise, alternative arrangements may be made, such as reduced hours or merging classes.
Course Entry Requirements
3.1 All ACE courses have entry requirements, including minimum age and language level (refer to each course for details).
3.2 Incorrect information in the application may result in changes to the student’s enrollment at their expense and, if necessary, require the student to leave the course and accommodation without any refunds.
Booking Changes
4.1 Booking changes are subject to change fees as listed on the current price list.
4.2 Notification of change to or cancellation of airport transfers must be sent to admissions@ace.com at least 72 hours before the designated arrival time. Failure to provide notice will result in full charges.
Student Cancellation and Refund Policy

5.2 Course bookings and accommodation fees will be treated separately.
5.3 Refunds will only be processed to the same bank account or credit card from which the original payment was received. Cancellation fees before arrival:
5.4 Cancellation notice must be provided by email to admissions@ace.com. Failure to notify via email will lead to full charges.
5.5 For non-visa nationals, a course booking cancellation before arrival will incur a refund less a £100/€100 administration fee. EU students retain the right to cancel under the Consumer Contracts Regulations.
5.6 For visa nationals, if a course booking is canceled due to visa refusal, with an official visa refusal letter provided, a refund will be issued less a £200/€200 administration fee. No refund will be made without a visa refusal letter. The student must inform ACE of the visa refusal at least 72 hours before the course start date to receive a refund. ACE reserves the right to withhold all payments if the visa refusal is due to the applicant providing misleading or false documents to the embassy.
5.7 Accommodation cancellation 14 days or less before arrival, including “no shows,” will incur charges equivalent to 4 weeks (or the full amount for bookings less than 4 weeks).
5.8 Some accommodation options may have alternative cancellation charges, communicated at the time of booking. Postponing start dates:
5.9 Postponing start dates is considered case by case and subject to availability. If rebooking is not possible, cancellation terms as above apply.
5.10 Changes to booked and confirmed accommodation dates with less than 14 days’ notice will be treated as cancellation, and rebooking charges will apply. Cancellation fees after arrival:
5.11 Once a student starts a course, refunds will not be issued in cases where: – A student withdraws or leaves the course early; – A student is withdrawn due to poor attendance or academic progress; – A student breaches the code of conduct resulting in expulsion.
5.12 In exceptional circumstances, refunds of the remaining tuition fees may be agreed upon at the discretion of ACE. Exceptional circumstances include serious accidents, injuries, or critical illnesses requiring long-term medical care for the student or close family members. Bereavement of close family members is also considered. Close family members include parents, spouses/partners, children, brothers, or sisters.
Homestay and Residential Accommodation
5.13 Students must provide at least four weeks’ written notice on the first Monday of the four-week period before leaving accommodation. Refunds will be issued for any additional accommodation fees paid beyond the four-week period.
Application for a Refund
5.14 General refund inquiries can be made at ACE reception or administrative office. Students seeking refunds must complete a Refund Application Form available at reception or by emailing accounts@ace.com.
5.15 Completed refund forms must be submitted to reception or via post/email. Refund forms can be sent to the following address: ACE, Finance Office, 9 Portland Street (entrance on Aytoun Street), Manchester, United Kingdom M1 3BE. Email to: accounts@ace.com
5.16 Course cancellation notices must be provided in writing via email to admissions@ace.com.
5.17 Failure to notify ACE of course cancellation by email within the specified timeframes will result in no refund being offered.
5.18 In addition to the above reasons, no refunds will be made in the following circumstances: – Visa nationals who successfully obtain a visa based on our sponsorship or fail to provide an official visa refusal letter. – The student withdraws their visa application.
